Basis: Part time/flexible (May – August only)

Working Hours: As required and very flexible in the week. Must be available over Kent County Show week/weekend (full time) to be on site. Kent County show takes place on the 5th, 6th, 7th July 2024

Overview:

As the Trophy Administrator, you will play a vital role in ensuring the efficient management of the Kent County Show competition trophies. Your responsibilities will encompass various administrative duties, including overseeing the safe storage, coordinating returns from winners, and arranging engravings. Your meticulous attention to detail and organisational skills will contribute to the smooth operation of trophy-related processes.

Key Responsibilities:

Trophy Management:

· Safely store and maintain an inventory of competition trophies.

· Ensure trophies are appropriately packaged for transportation (use of own car essential)

· Coordinate to arrange timely deliveries/display and returns of trophies.

· Cleaning, tagged, bagged and stored correctly

Winner Coordination:

· To be the point of contact over Kent County Show weekend to co-ordinate sign out and return of competition winner trophies

· Communicate with competition winners to facilitate the return of trophies within specified timelines where appropriate

· Provide clear instructions and support regarding trophy collection and return procedures where appropriate

· Address any queries or concerns from winners regarding trophy handling and logistics.

Engraving Arrangements:

· Coordinate with engraving services to accurately update trophy inscriptions with winner details.

· Maintain records of engraving specifications and ensure consistency in trophy engravings.

· Monitor engraving schedules to meet deadlines for any possible upcoming events and presentations.

Documentation and Record-Keeping:

· Maintain comprehensive records of trophy inventory, including details such as trophy condition, location, and engraving history.

· Prepare documentation related to trophy transportation, returns, and engraving instructions.

· Update databases and digital records to reflect the latest trophy status and information.

Quality Assurance:

· Conduct regular inspections of trophies to ensure they are in pristine condition.

· Coordinate repairs or maintenance for damaged trophies as needed.

· Implement quality control measures to uphold the prestige and integrity of competition trophies.

Administrative Support:

· Provide administrative assistance to teams involved in event planning and execution.

· Assist with other administrative tasks as assigned.

Qualifications:

· Proven experience in administrative roles, preferably in a similar capacity involving inventory management or logistics coordination.

· Exceptional organisational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

· Strong communication skills, both written and verbal, to interact effectively with competition winners, vendors, and internal stakeholders.

· Proficiency in using Microsoft office software and databases for record-keeping and documentation purposes.

· Ability to work independently with minimal supervision while also collaborating effectively within a team environment.

· Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.

· A proactive and solution-oriented mindset, with a commitment to ensuring the highest standards of trophy management and customer service.

· Physically fit for the role as lifting and carrying forms part of the role

· Own means of transport (large car to transport trophies)
