Kent Federation of Horticultural Societies
SPECIFIC Duties of the Honorary Treasurer (HT)
- Either handwritten or, using Excel, to maintain a set of accounts that provides the following information:
- A day-to-day cashbook recording Income and Expenditure analysed between GENERAL and SHOWS.
- A daily running bank reconciliation for the Current and Business accounts.
- A daily running set of accounts.
- To pay via BACS submitted invoices and to reimburse expenditure incurred by Committee Members on the Federation’s behalf, also via BACS, and only against submitted receipts.
- Draw sufficient notes and coinage from the Current Account to fund the Autumn Show to cover floats for a SALES table, a RAFFLE table and the KITCHEN plus prizemoney and the judges’ fees. If the AGM and the Summer Show are to continue being held at the KCAS Showground at Detling, you will need to seek guidance from the Chairman as to whether or not any cash needs to be taken to the Show – none was required for the 2026 Shows.
On being provided with a list of judges’ expenses, place in prepared envelopes and give to judges on completion of judging.
On being passed a list of prize winners, place winnings into pre-prepared envelopes – prize-winners will collect from you.
- At the end of the show, collect all income and prepare an analysis to enable you to enter in the accounts.
Soonest after a show ends, bag-up the coinage and, together with the notes, deposit with Barclays.
You should do not need to hold any cash but you will be provided with a lockable cash box.
- You will need to provide the Chairman with accounting information as and when requested.
- The Chairman(?) will need to appoint a non-Committee Member to Examine the Annual Accounts and, when they have been signed-off, you will need to prepare sufficient copies for the Committee and later for the AGM Attendees, together with your HT’s Report.
- The bank account is operated on a single signature basis. A Barclays Bank plc Debit Card will be obtained for you and, as you settle in, an alternate signatory should be appointed and a Debit Card obtained for their use in your absence or, as instructed by you. Cheque payments can still be made and issued under a single signature.
- All Committee appointments are Honorary (provided free and meaning no expenses are claimable unless authorised by the Chairman).
