Job Title: Events Assistant

Reporting To: Event Team Leader

Basis: 9 Month Fixed-term, Full-time Salary: £23,000

Working Hours: 37.5

5 days over 7, weekend and evening work will be required

Location: Kent Showground, Detling, Maidstone

JOB DESCRIPTION:

– To complete administrative and reception tasks as required

– To work with existing corporate clients, providing quotations, arranging site visits, booking external contractors and any other tasks that result in the successful delivery of their event or conference and maintains a positive working relationship

– To liaise and build strong working relationships with internal departments and external contractors to ensure events and conferences run smoothly

– To prepare detailed function sheets for events and conference clients including agenda times, coordinate with the hospitality team to ensure all food and beverage requirements are met, ensure all audio-visual equipment is in place and liaise with the operations team to ensure the venue is set up to clients’ detail

– To work with the Deputy General Manager to assist with the planning, organisation and implementation of shows and events run by the Kent County Agricultural Society, including its charitable activities

– To manage the mapping of events using an AutoCAD based system and assist with the preparation of any show schedules/catalogues

– To complete the administration and organisation of any stewards/volunteers at Society events and provide any administrative support to the various Show Committees including minute taking at Committee meetings

– Respond to clients’ requests and general enquiries in a professional and timely manner

– To raise accurate and timely invoices for clients and contractors

– To assist Hospitality Coordinator with client events/conferences, this may include set up for events and assisting with hospitality as required

– Be an ambassador for the Kent County Agricultural Society and the Kent Events Centre

In addition to the duties and responsibilities listed, the job holder may be required to perform other duties assigned by the Deputy General Manager and Show Secretary from time to time.

PERSON SPECIFICATION:

Essential Skills/Experience:

– Customer focused experience

– Proven experience within the events industry   

– Experience of using a CMS (Content Management System)

– Excellent communication skills

– Excellent administration skills

Desired Skills/Experience:

– Management of volunteers

– Good use of Microsoft operating system and Microsoft Office programmes

– Good time keeping and organisational skills & ability to work on own initiative

– Previous experience working with the general public

– Use of AutoCAD programme

– Minute taking

– Knowledge of outdoor events

– Knowledge of the agricultural/equine industry

– Educated to A level or above or with relevant experience
